1. Data controller

2. Personal data processed

Data provided voluntarily via the contact form: full name, agency/organisation, client type (agency, owner, other), email, phone or WhatsApp, property location and type, message content and contact preference.

Navigation data: technical data collected automatically by the systems (e.g. IP address, browser type, access times, hosting server logs), necessary for the operation and security of the site.

3. Purposes and legal bases

a) To respond to enquiries and provide a quote: performance of pre-contractual measures requested by the data subject (Art. 6.1.b GDPR).

b) To perform any resulting contract and comply with legal, tax and accounting obligations (Art. 6.1.b and 6.1.c GDPR).

c) Site security, abuse prevention and the establishment, exercise or defence of legal claims: legitimate interest of the controller (Art. 6.1.f GDPR).

d) Any informational or marketing communications: only with the free and specific consent of the data subject (Art. 6.1.a GDPR), revocable at any time.

4. Nature of the provision of data

Providing the data marked as mandatory in the form is necessary to respond to the enquiry: failure to provide it makes it impossible to reply or issue a quote. Providing other data is optional.

5. Processing methods and retention periods

Data is processed with electronic tools and appropriate technical and organisational measures to ensure its security and confidentiality (Art. 32 GDPR).

Data relating to enquiries not followed by a contract is kept for the time needed to handle the request and in any case no longer than 24 months. Where a relationship is established, contractual, accounting and tax data is kept for 10 years (Art. 2220 Italian Civil Code and tax law). Data processed on the basis of consent is kept until consent is withdrawn.

6. Recipients and processors

Data may be processed by service providers acting as data processors under Art. 28 GDPR: hosting and form provider (Netlify), appointment booking service (Calendly), email provider, any consultants (e.g. accountant) and technical collaborators.

Data is not disclosed to the public and is not subject to automated decision-making or profiling.

7. Transfers outside the EU

Some providers (e.g. Netlify, Calendly, Google/YouTube) may process data in third countries, including the United States. In such cases the transfer is based on adequate safeguards under Art. 44 ff. GDPR, such as the European Commission’s Standard Contractual Clauses and/or adherence to the EU-US Data Privacy Framework.

8. Rights of the data subject

The data subject may at any time exercise the rights under Art. 15-22 GDPR: access, rectification, erasure, restriction, portability, objection and withdrawal of consent (without affecting the lawfulness of prior processing), by writing to info@aionvisualsluxury.com.

The data subject also has the right to lodge a complaint with the Italian Data Protection Authority (www.garanteprivacy.it).

9. Cookies and tracking tools

The site uses technical cookies, necessary for its operation, for which no consent is required (Italian DPA guidelines of 10 June 2021).

The site may embed third-party components (e.g. YouTube videos, Calendly bookings) which, if activated, may set cookies including profiling cookies. Such components are loaded only after the user’s consent, collected via a dedicated banner; without consent they are not loaded.

Users can manage or withdraw their preferences at any time via the banner or their browser settings.

10. Minors

The site and services are not directed to persons under 18. The controller does not knowingly collect data of minors through the site.

11. Changes

The controller may update this notice. The version in force is the one published on this page, showing the date of last update.
